You ask, we build it
Your requests drive what we build. Everything that ships is listed in What's new.
What changed in TruckDMS, newest first.
A new design for the website, the app and dealer websites
The TruckDMS website, the app and dealer inventory websites have a new design: clearer navigation, screens that are easier to use on a phone and lighter fonts. Your data and your website colors stay the same.
Credit notes: adjust or cancel an invoice without changing past periods
On an invoice, "Create a credit note" copies what is left of its lines: change the amounts. The credit note has its own number (NC), the invoice reference and the invoice's taxes at the invoice's rates. It counts in the sales and taxes of its own period, prints as CREDIT NOTE and goes out by email, text or customer link. An invoice's credit notes never exceed its total.
Apply a credit note to its invoice balance, or refund the customer
The credit settles the original invoice balance and never counts as a payment received or as cash. A refund to the customer is recorded on the credit note. Sales, taxes, statements, aging and accounting exports account for it. A credit note never gets a payment reminder.
Customers accept or decline quotes online
On the quote link, the customer types their full name, ticks the box and clicks Accept the quote, or declines with an optional reason. You get an email, the linked truck becomes Reserved if it is available, and the quote shows who answered and when. You can also mark a quote accepted, declined or back to pending yourself.
Quotes sent by text or email: the customer answers online
Texting a quote now sends the link to its online page instead of the PDF. While it waits for an answer, the text and the email invite the customer to answer online, and the email button reads "Respond to the quote". Declined, archived or cancelled, the quote puts the truck its acceptance reserved back on sale, unless something else holds it.
Pending, accepted and declined quotes: list and dashboard
Each quote in the list shows the customer's answer, with three new filters. The Pending quotes card now counts only the quotes still waiting for the customer. If the total of a quote that was already accepted changes, its page tells you so you can set it back to pending.
Convert to invoice in a single step
Convert to invoice now takes the invoice number and writes the invoice in a single step: an error no longer leaves a gap in your sequence, and a quote is never converted twice, even on a double click.
Deposit request on an invoice or a quote
Ask for a deposit as a percentage of the total or a fixed amount, with a due date if you want one. It prints on the invoice, the PDF and the customer link with your payment instructions. Copying a document or converting a quote to an invoice keeps it.
A reservation deposit moves onto the sale invoice in one click
On an invoice linked to a reserved truck, "Apply the reservation deposit" records the payment (deposit amount and method, never dated before the invoice, the deposit date kept in the reference) and marks the reservation converted. Never twice, nor on a paid invoice; a similar payment already entered is flagged. The reservation shows the invoice that holds its deposit.
Import your invoices, customers and items from Invoice2go or a CSV file
Settings, Import: inventory, customers, items and invoices. You confirm which column feeds each field, then a preview counts the rows ready, already there or refused (with the reason) before anything is saved. An invoice keeps its number with a prefix (I2G- by default), its total, its taxes and one payment for the amount paid. Importing the same file again creates no duplicate invoice.
Re-importing customers or inventory skips what is already there
A customer with the same email (or, without an email, the same name and phone number) and a unit with the same VIN or stock number, even sold or archived, are skipped. The preview and the result say how many rows were skipped and why. A customer who only shares a name with an existing one is added, with a warning in the preview.
Imported invoices: original total protected, taxes in your reports
An imported invoice does not go through the edit form, which would recalculate its taxes. You can record a payment on it, send it, copy it or archive it. Its taxes show on screen and on the PDF, and count in the tax report. Once issued, it counts as sent: until it is paid, automatic payment reminders follow its due date.
Emails: Cc, Bcc and the unit's documents attached
When you email an invoice, a quote or a credit note, add up to 5 Cc and 5 Bcc addresses (your accountant, the lender), check "Send me a copy", change the subject and attach the unit's documents, such as the inspection, up to 28 MB with the PDF. The statement of account email takes Cc and Bcc too.
A default message for your customer emails
In Settings, Email messages section, write a message for invoices, quotes, statements and payment receipts, in English, French and Spanish. It is suggested with each email in the document's language and you can still change it; the payment receipt adds it as is.
Saved items keep their kind on invoices
Each saved item now has a kind (Parts, Accessory, Service, Delivery, Warranty, Documentation fee, Other), set in Settings. Added to an invoice, the line keeps that kind: parts and accessories count in the US federal excise tax (FET) base, and accounting exports put the line in the right sales account.
Turn off payment reminders for one customer
A customer who asks to stop receiving payment reminders can now be unchecked on their customer page. None of their invoices gets a reminder, and the invoice page says why. Check the box again to resume.
Invoice viewed alerts show your local time
The email you get when a customer opens an invoice now shows the time in your dealership's time zone (Settings), instead of Toronto time for everyone.
Public dealership email: one click to use your own
Without a public email, Settings says so and offers “Use my sign-in email”. It shows on your website, customer links and emails to customers, so nothing is published until you save. Until then, payment reminders are not sent, but notices for you (quote accepted, invoice viewed) reach your sign-in email.
Value estimates finish long web searches
When the web search behind a value estimate pauses partway, the estimate now resumes it (up to 3 times) instead of failing without a result. It still counts as one AI action.
Discount warning matches what gets saved
On the invoice form, a line with a price but no description is dropped when you save. The live preview now leaves it out too, so the totals and the warning for a discount larger than its lines match what is saved.
Quick add a unit, on a phone or a computer
Take the photos with your phone or drop them on your computer: the AI sorts them, reads the VIN, the data plate and the spec sheet (PDF or photo), writes the description in English, French and Spanish, then you check it and publish. In the same place, a value estimate from real comparable listings, with their links.
Your inventory on your current website
Already have a website (Wix, WordPress, Squarespace or other)? Paste one line of code into one of its pages: your inventory shows there, always up to date, with the request form, and requests arrive in your leads. The line of code is in Settings.
A dashboard you arrange
Pick the blocks on your dashboard (overdue and unpaid invoices, sales and cash in by month, quotes, units on the lot, inventory value, aging units, leads to follow up, expiring reservations, recent activity and more), hide them and drag them into the order you want.
Invoices: get paid faster
The invoice list filters by state (to pay, overdue, not sent, paid, quotes, archived) and shows whether each one was sent and opened. Also: payment terms, a discount on the subtotal, payment receipts by email, duplicating an invoice and the customer statement sent as a PDF.
Payments: method, date, reference and instructions
“Mark paid” now asks for the payment method (debit card included), the date and the reference, and can email the customer a receipt. Your default payment instructions, in Settings, print on invoices that have no notes.
Automatic payment reminders
Once the invoice is sent, the customer gets an email reminder 3 days before the due date, on the due date, then 3 and 7 days after. Reminders stop by themselves when the invoice is paid, and never go out on a financed sale. You pick the days or turn them off in Settings, and each invoice has its own checkbox.
Your requests and what's new, in one place
Send a request from the app with the Feedback button. When it ships, you get an email. What ships is published here, in What's new, and in the app.
US-dollar pricing in the United States
Dealerships in the United States now have their own prices in US dollars, on the Billing page of the app. The Pricing page shows US-dollar prices to visitors from the United States, Canadian-dollar prices to everyone else, and always lists the other country's prices.
The visitor's message on the lead
The text a visitor types in your website's form now shows on the lead's page, with a preview on the Leads page.
Body-type and make filters on your website
On your website's inventory page, visitors can now filter by body type (box truck, dump truck, flatbed…) as soon as you carry at least two types. The make filter also merges a make spelled two ways, like FREIGHTLINER and Freightliner.
Promotional ribbons on your website
Pick a ribbon on a unit (Guaranteed!, Very rare! or Price drop): it shows on the unit's card and page on your website, and disappears as soon as the unit is sold.
Outside Québec: your own contract, signed online
The contract TruckDMS generates follows Québec law, so it is reserved for Québec dealerships. Elsewhere, upload your own sale agreement as a PDF from the invoice and send it to the customer for e-signature.
Québec paperwork, only in Québec
SUTIL and the SAAQ inspection are now reserved for Québec dealerships. Elsewhere, the inspection is called a safety inspection, in the app and on your website.
“Write with AI” button
On a unit's page, “Write with AI” writes the description from the saved specs and photos, with mileage and weight in your units. Review the text: nothing is saved until you click Save.
VIN read from the plate photo
When the AI sorts a unit's photos, it fills in an empty VIN from the photo of the VIN plate. It only does so when the read is confident and the check digit matches, and it never replaces a VIN you already entered.
Our new name: TruckDMS
The software is now called TruckDMS: a plain name for what it does, dealer management for commercial truck dealers, light to heavy duty.
